PHP Group buildings are leased on a variety of terms set out in the agreement between you and the relevant PHP Group company, that is, your landlord. The lease determines who is responsible for different types of maintenance.

The lease will detail a number of periodic payments that will need to be made to your landlord. These will include rent, service charges and annual insurance premiums.
Rent is charged in accordance with the terms of your lease and is typically payable quarterly in advance. In England, the standard due dates for the payment of rent are:
- 25 March
- 24 June
- 29 September
- 25 December
Please refer to your lease to establish the relevant due dates that apply to you.
We aim to issue rent demands approximately six weeks before a due date to allow you plenty of time to claim any reimbursement from the NHS that you may be due. Rent should be paid to your landlord on or before the due date, preferably by standing order. The bank account to which payment should be made is set out on each rent demand, but if you are not sure of these details they can be obtained directly from the finance team. We do recommend that payment is made by electronic transfer as this is a much safer process than sending cheques through the post.
- a service charge is billed if you require additional building maintenance services under the terms of your lease;
- VAT is payable on all rent, service charges, insurance and other costs charged by us;
- non-receipt of reimbursement from the NHS is not a valid reason for the late payment of rent. Payment is the obligation of the leaseholder and interest will be charged if payment is late; and
- interest is charged with regard to all payments not made by their due date in accordance with the terms of your lease. Your lease may not require rent to be formally demanded at each due date.
Your premises are automatically covered by the PHP Group’s buildings insurance policy for fire, theft, flood, subsidence and other damage. However, you will be responsible for arranging your own contents insurance policy.
If there is a lift in your building, we can add this to the cover offered by our separate engineering policy, which includes regular biannual inspections. The reports from this inspection should be sent to your maintenance contractor for follow-up at the next service visit.
You will be charged an insurance premium on an annual basis in accordance with the terms of your lease or where changes to your premises require amendment to insurance arrangements.

As you settle in and grow into your building, your needs may change sooner than you think. Every PHP Group building is designed with built-in flexibility to be expanded or reconfigured for the future. You can talk to the asset management team to discuss your plans and requirements.
Most leases allow you to make minor alterations, with our permission, which do not affect the structure of the building. Please call the property management team to talk through your plans to ensure that all necessary consents are provided.
If you are thinking of extending your premises, we will be happy to discuss your future needs and what is possible on your site. Call the asset management team for an informal chat about what you may be considering.
To keep your building in good condition, redecoration of your property would normally take place on a three or five-yearly cycle, depending on the terms of your lease. The property management team can advise which applies to you and will give you help on scheduling, obtaining quotations and instructing the work. We can also work with you to redesign and refurbish your reception and communal areas to give your building a brand new look and feel.
Our team is happy to give advice on health and safety issues that relate to your building but it’s important to remember that, as an employer, the health and safety of your staff and visitors is your legal responsibility.
As part of your lease, you must comply with the Premises Acts, which include:
- The Fire Precautions Act 1971 (as amended)
- The Health and Safety at Work Act 1974
- Occupiers’ Liability Act 1984
- The Regulatory Reform (Fire Safety) Order 2005

Meet the team
James was the Head of Asset and Property Management for the MedicX Fund having joined Nexus as a result of the merger in March 2019. James is a Chartered Surveyor with some 20 years' experience having worked as a property and asset manager for the likes of CBRE, GVA Grimley and Herring Baker Harris. Significantly, 12 of those years were spent owning and running Optic Asset Management, a commercial property management company which was sold to GBR Phoenix Beard in January 2015.
James is responsible for the day to day management of the MedicX portfolio of over 160 assets including new acquisitions, rent reviews, property maintenance under TIR and FRI leases, extensions, improvements and refurbishments.

Andrew joined Nexus in February 2007. He is a member of the Royal
Institution of Chartered Surveyors with over 16 years’ standing and has extensive
experience of property management, acquisition, disposal and development
throughout the UK for national retailers and in the healthcare sector. He is

2015. Having previously worked for JCDecaux and Cushman & Wakefield, she
graduated from Kingston University in 2011 with an LLB (Hons) Law and brought
with her 3 years’ experience in Property Management. Chantal now works in the
property team dealing with property management and lease related matters within
her region of the PHP portfolio. In October 2017 Chantal completed her Masters
course in Real Estate and obtained a Pass with Merit. She is now working
towards her APC qualification in order to obtain RICS accreditation and become
a Chartered Surveyor.

Olivia qualified from Northumbria University in 2015 with a BSc (Hons) in Real Estate Management and joined a commercial property management firm in London, Workman LLP. Olivia has 4 years of experience and has managed a variety of property types nationwide varying from retail, industrial, offices and healthcare facilities, mostly owned by large pension funds. Olivia is a qualified Chartered Surveyor.

Meet the team
Michelle joined Nexus in
February 2014. She has previously worked in national property and asset management
for NFU Mutual Insurance Society Ltd and Halfords. Having worked for specialist
healthcare developer and investor Prime PLC since 1999, managing their
portfolio of primary care centres, she joined Nexus upon the transfer of the
Prime portfolio to PHP. Michelle is based in the Stratford Upon Avon office and
over sees the provision of property management services to the PHP

Prior to joining Nexus, Ruth gained 15 years’ experience as a management surveyor in commercial practice advising on a broad range of property and land management and previously worked for various commercial practices including JLL, GVA and GBR Phoenix Beard. Having joined Nexus in August 2017, Debbie brings with her over 20 years’ experience in public relations. Debbie joins as Helpdesk Co-ordinator and Property Administrator. Her main responsibilities are to log reactive maintenance calls and to chase, complete and close down calls. She is responsible for monitoring and scoring contractor performance. It is also vital for her to liaise with the Property Managers and assist in proactively dealing with all aspects of the reactive and planned maintenance contracts and maintenance works.

Tom joined Nexus in July 2018 bringing 35 years’ experience working as a building surveyor and project manager. Having previously worked within the corporate hospitality, food & beverage sectors, the last 10 years have been spent working in specialist acute and primary care sectors working for Birmingham Women’s Hospital, Sandwell and West Birmingham NHS Trust and NHS Property services managing and implementing compliance, Planned preventative maintenance programmes and large capital investment projects.

Asset management in action
Robin Lane Medical Centre, Pudsey
The surgery was originally built in 1997 and is located within 6 miles of Leeds City centre. Due to growth in patient numbers, the need to offer a wider range of services to the local community, and the passage of time the accommodation had become too small and tired, and required extension, reconfiguration and refurbishment. PHP worked alongside the GP’s and the Clinical Commissioning Group in Leeds to build an extension to deliver 11 additional consulting rooms, 2 new treatment rooms, a new endoscopy suite; and refurbished existing consulting rooms, improved reception and waiting areas for patients, modernised administration space for staff; and incorporated environmental improvements to assist with the reduction in the building’s carbon footprint and running costs.
